Why homes switch

Safer care with less paperwork.

  • Every dose accounted for

Each dose is signed by the caregiver who gave it, and no two caregivers can chart the same one. A late dose shows on every phone in the home.

    See how
  • Your home at a glance

What’s due, what’s missing and who can’t work, on your phone. When a surveyor asks for records, the packet is one button.

  • No catch-up paperwork

The record is made as the care is given. A dose recorded is the MAR, and a drill logged is the drill documentation.

Med pass

Every dose checked against its order.

Medication not given as ordered is the second most-cited deficiency in Arizona assisted living homes. On a paper MAR, a dose given twice or a hold rule skipped shows up weeks later, at the survey or in an incident report. In Maeve, a dose is recorded only once, and only after the check the order asks for.

  • Two caregivers can’t chart the same dose
  • A reading that says hold can’t be recorded as given
  • As-needed doses with the reason, the minimum gap and the daily limit

Safer residents: the mistakes that end up in an incident report are stopped the moment a caregiver taps Record.

Compliance Items

Know what’s due before it’s late.

The owner of a small home is rarely in it all day. Maeve keeps the home’s compliance binder with what’s due at the front: evacuation drills and the disaster plan, both on ADHS’s most-cited list, plus detector tests, pest control, every certificate and every contract, each on its own clock.

  • Due at the front, with every item’s ADHS rule
  • A red strip names anyone whose paperwork keeps them off a shift
  • Nothing shows as overdue before you’ve set it up

Hours back: no evening walk through the binder looking for what’s missing. When a surveyor asks for records, ADHS gives you two hours, and the packet is one button.

Staff

Only cleared staff on shift.

A caregiver working with an expired CPR card or a missing fingerprint clearance is a deficiency, and a risk to the home, and the card is usually in a drawer. Maeve keeps every certificate with its expiration date, says what lapsed, and won’t put that person on a shift until it’s renewed.

  • Training, CPR and first aid, TB screening, fingerprint card and the APS check
  • Renew from the expiration date, with the camera taking both sides of the card
  • The schedule by day, week or month, with call-outs and cover

Fewer citations: an expired card is a deficiency a surveyor finds in minutes. Maeve finds it the day it expires.

Policies and procedures

Policies written for your home.

Missing or incomplete policies are the most-cited deficiency in Arizona assisted living homes. Most homes pay somebody to write them, then pay again when the rules change. Maeve writes the ones you’re missing with your home’s name, license and staff in them, keeps each on its review clock, and it’s in the $99.

  • Upload the binder you have and Maeve matches it to the required topics
  • Every medication policy waits for a provider, nurse or pharmacist to approve it
  • Staff sign in the app, and you see who hasn’t
37policies ADHS requires, across six areas. Maeve writes every one you’re missing, included.

Who it’s for

Made for homes like yours.

In a home of ten, the owner is often the manager, the scheduler and a caregiver in the same week. Maeve assumes a phone in a hallway, not a workstation in an office.

  • Keeps a paper MAR and binders today, or paper and another eMAR
  • Dreads the survey, or was cited on the last one
  • Has an owner doing the manager’s paperwork at night
  • Is missing written policies, or pays a consultant to write them
  • Is opening a new home and starting from a blank binder

Questions

What owners ask first.

Is it easy to switch from paper?

Yes. You don’t retype your binder. Take pictures of the paper you already keep, and Maeve reads your MARs, medication lists and staff cards into the record for you to check. If you’d rather hand off the data entry, Maeve support will do it. Your paper stays the official record until you switch over.

What if the internet goes out?

Print the day’s downtime sheets from the med pass and keep them on hand. If the connection drops, caregivers record on paper, and those doses go in afterward as late entries with the real time.

Does Maeve work with my pharmacy?

There is no pharmacy link. You upload the pharmacy’s MAR or the signed order, and Maeve reads it into orders, each waiting for its signed original. The pharmacy and its phone number come from the national provider list as you type.

Do my caregivers need their own phones?

No. Caregivers can use their own phones, or the home can keep a shared tablet or phone where each caregiver signs in with a PIN of their own. Either way, every dose is signed by the person who gave it.

Is there a contract?

No. It’s month to month: cancel before your next invoice, and Maeve keeps working to the end of the month you’ve paid for. Your records are yours to export at any time.

Is Maeve HIPAA compliant?

Yes. Maeve holds residents’ records as your business associate, and every account comes with a business associate agreement that commits Maeve to HIPAA’s safeguards. The security page says what they are. No agency certifies software for HIPAA, so the agreement is what to ask any vendor for.

Start with the paper you have.

Take a picture of each MAR, face sheet and staff card with your phone, and Maeve reads them into your records. You check every line before you switch over. If you’d rather hand off the data entry, Maeve support will do it for you during setup.
