How we protect residents’ records.

Maeve holds protected health information, so every account comes with a business associate agreement, and these safeguards are written into it. This page is the short version.

Maeve is a record-keeping tool. It is not a medical device, it does not make a home compliant on its own, and nobody can promise the outcome of a survey. What it does is keep the record the rules ask for, and show you where it falls short.

  1. A business associate agreement with every account

HIPAA requires one, and it comes with every Maeve account rather than being something you have to ask for. It sets out how we protect your records and what we do if something ever goes wrong.

  2. Encrypted, always

Your records are encrypted when they travel and when they are stored.

  3. Your home’s records are yours alone

No other customer can see your records, and nobody at another home can reach them.

  4. Two-factor sign-in

Everybody signs in with their own account, and the people who run the home confirm it’s them with a second step. On a tablet the home shares, each caregiver has their own PIN. Nobody shares a login.

  5. A record that is never overwritten

Clinical entries can’t be edited or deleted. A correction is a new entry that points at the original, and every change is recorded with who made it and when.

  6. Paper you upload, checked by you

Maeve reads the MARs, lists and cards you upload into the record. Nothing becomes your record until somebody at your home has checked it and signed. Your records are never used to train anything.

  7. Maeve support, on the record too

While your home is setting up, Maeve support can sign in and type for you. Everything it enters carries its name, and somebody at your home signs off each step before you switch over.

  8. After setup, nobody at Maeve can change your records

Once your home has switched over, Maeve staff can only look, and only while a support request you opened is open. Every look is in your audit trail.

  9. In the United States

Your records are stored in the United States and backed up automatically.

  10. Yours to take with you

Export every record and document whenever you like. If you leave, we send you a complete copy before anything is deleted.

Start with the paper you have.

Take a picture of each MAR, face sheet and staff card with your phone, and Maeve reads them into your records. You check every line before you switch over. If you’d rather hand off the data entry, Maeve support will do it for you during setup.
